Your appointment is at 4:00 pm. The train is delayed, the map says another twelve minutes on foot, and you still need to find the building entrance. Should you keep going, change the booking, or cancel?

Contact the salon as soon as you expect to miss its required arrival time. Give a realistic arrival estimate and ask whether it can still provide the booked course. Sending that message does not, by itself, move the appointment or remove a charge. You need the business's answer about what happens next.

Use the contact method the salon actually monitors

Open your confirmation and look for instructions for urgent changes. Use the branch and booking reference attached to your appointment. A message to a directory, a social-media comment, or an unrelated branch may never reach the person holding your slot.

Calling is not always the right answer. head CONCIERGE's official English FAQ says it has no telephone and directs enquiries to its official LINE account. That is a useful reminder to save the provider's chosen contact route before leaving for your visit.

If a booking platform took your reservation, check whether changes must be made there. Where staff need to know immediately, use the urgent contact route in the confirmation as well and identify the existing reservation. Avoid creating a second booking merely to obtain a later time: ask what will happen to the first one before reserving another.

Say when you expect to reach reception

“I am nearby” gives staff very little to plan around. Send the booked time, your name or reference, and the time you expect to be at reception. If you are still on a train, include the walk from the station and any time needed to find the entrance.

A useful message is: “I have a 4:00 pm booking for the 60-minute body-care course under [name/reference]. I expect to reach reception at about 4:15 pm. Can you still see me, and would the treatment duration or price change?” This is an example, not a suggested grace period.

If your estimate is uncertain, say so. “The train has stopped and I cannot yet give an arrival time” is more useful than promising five minutes you cannot deliver. Update the same conversation when the estimate changes. If you have reached the address but cannot find the entrance, describe where you are and ask for directions instead of repeatedly following the same map pin.

A shorter treatment can still carry the original price

Swedish Massage iki's English page says that arrivals more than 15 minutes late may prevent the requested massage from being provided. Accommodation depends on the next guest's appointment, and a menu change caused by lateness is charged at the originally reserved menu price.

That policy belongs to that salon. It does not establish a fifteen-minute allowance elsewhere. Read the rule for your own provider rather than borrowing a threshold from another business.

Ask separately about the treatment you can receive, the finishing time, and the amount due. A hypothetical 60-minute appointment booked for 4:00 pm does not automatically become a 4:15–5:15 pm appointment when you arrive fifteen minutes late. If the original finish remains fixed, less time is available; preparation may reduce the time available further. Only staff can confirm the revised service.

Before agreeing to a shortened visit, ask which parts remain. For a combination course, the business may need to propose a different sequence or omit a component. Do not assume you can select a cheaper menu at reception and have the original reservation repriced.

Moving the appointment may count as a same-day change

“I still want to come today” does not necessarily avoid a change fee. The time held for the original booking and the availability of a later slot are separate matters.

head CONCIERGE's FAQ states that same-day cancellations or changes incur a fee, describing a 50% cancellation charge or the purchase of a head-spa gift certificate on the next visit. It also says significant lateness may make treatment impossible while a cancellation fee still applies. Ask staff how the stated options apply to your booking; do not interpret the certificate wording as an automatic waiver.

The two official pages linked here were checked on October 21, 2026. They illustrate provider-specific arrangements, not a nationwide cancellation schedule. Check the terms shown for your selected course and booking channel, particularly when a prepaid offer or voucher is involved.

If a later appointment is offered, establish whether there is a charge for changing the original one, the price of the replacement visit, and what happens to any amount already paid. A reply saying “we have space at 6:00 pm” answers availability but may leave those payment questions open.

A message sent is not a change confirmed

A delivery mark or an automated acknowledgement shows something different from staff agreeing to a new start time. Keep the original reservation details until the provider confirms the outcome.

If the appointment is close and there is no reply, follow the provider's published urgent instructions. Do not assume silence means either “come whenever you can” or “your booking is cancelled.” If you cannot attend, state that clearly through the required channel rather than leaving a vague request for alternatives.

For a cancellation, request confirmation that the booking has been cancelled and ask for the amount and payment method for any applicable charge. For a reschedule, keep a reply identifying the replacement date, time, course, and price, along with the status of the original booking. This prevents a later appointment being added while the earlier one remains unresolved.

Keep the request short enough to act on

Hello, I have a booking at [branch] on [date] at [time], under [name/reference], for [course and duration]. I am delayed and expect to arrive at reception at [estimated time].

Can you still provide the appointment? Please confirm the available treatment duration, finishing time, and total charge. If it cannot go ahead, please explain the cancellation or rescheduling options and any charge for the original booking.

If you already know you cannot attend, replace the second paragraph with a direct cancellation request. If your delay changes, update the estimate in the same thread. There is no need to send a passport, room number, or full travel itinerary to identify an ordinary salon appointment.

Before your next visit, save the branch directions, the required arrival time, and the contact route beside the confirmation. Ask whether the advertised duration is treatment time or the whole visit. Arriving early at the station is useful only if you have also allowed time to reach the correct entrance and reception.

Use Japan Massage Map to find a relevant provider, then settle changes directly with the business that accepted the reservation. If you are booking around midnight, our after-midnight booking guide covers the separate issue of the correct calendar date. For a delayed arrival, leave the conversation with a clear outcome: the visit will proceed on agreed terms, it has moved, or it has been cancelled.
